It might be difficult to estimate how many tablets and printers you need for your event. Here you can find factors that might influence that estimate.
Amount of participants and duration of check-in
The amount of tablets and printers needed depends on the amount of participants of an event but also on the duration of the check-in period. With one tablet and one printer a host can check-in approximately 100 participants per half hour. This amount is only achievable if the participants have their QR-code ready and hosts do not have any other tasks such as answering questions about the program, handing out booklets or goodiebags etc. Keep in mind that if the check-in period is one hour for example, the participants won't arrive gradually during that time. Experience shows that the last 15 - 30 minutes will be the busiest. If you want to prevent queues during your check-in period, estimate the amount of participants you expect during the peak moments.
Counter for speakers or special guests
At some events there might be special guest such as VIPs, speakers, sponsors or exhibitors. If you organise such an event you can chose to have a special check-in counter for those guests. This way you provide them with i.e. explanations that are only applicable to them. If special guest do not need to check-in or are present before other participants a special counter might not be needed.
Register on location
Are you expecting a lot of people at your event that have not signed up beforehand and therefore need to be added manually? Then you can chose to add a special check-in or service counter. Adding participants manually on the tablet takes longer than simply scanning a personal QR-code. You can also provide only an extra tablet which connects to one of the other printers. Please note that for this scenario you still need an extra host.
Back-up printer and tablet
If you use one of our event engineers, they will always bring a back-up printer and tablet. This way a possible defect printer or tablet can immediately be replaced.
